Introduction

OneDrive allows users to share files and folders within it with other users. This can be done using the OneDrive web interface as well as the OneDrive desktop app.

Sharing using the OneDrive web interface

  1. Log into the OneDrive web interface. (help)
  2. Check the circle(s) next to the file(s) and/or folder(s) you wish to share.
  3. Click the Share button.
  4. Set the audience of whom may access the file(s) and/or folder(s) by clicking the first option (Anyone with the link can edit).
    • Choose who may use the link.
      • Anyone with the link will allow anyone--regardless of who they are or if they are logged into a SMSD Office365 account--to access the file.
      • People in the South Middleton School District with the link will only allow those who are logged into a SMSD Office365 account to access the file.
      • People with existing access will honor the rights of those who already have access to the file.
      • Specific people will allow you to specify certain people who may access the file.
    • If you want to allow others to edit the file, check the Allow editing box.
    • If you want to automatically revoke access at a particular time, set an expiration date.
    • If you want to prevent users from downloading the file, toggle the Block download option.
      NOTE: You must turn off editing to enable this option.
  5. Enter the names and/or email addresses of those to whom you wish to share this file.
  6. Optionally, add a message to the recipients of this shared file.
  7. Send the file.
    • OPTION 1: Click Send.
    • OPTION 2: Click Copy Link to obtain a shareable link of the file(s) or folder(s).
    • OPTION 3: Click Outlook to have OneDrive create a shareable link and place it in a new Compose email window within Outlook.

Sharing using the OneDrive desktop app

  1. Navigate to your OneDrive folder.
  2. Right-click on the file(s) and/or folder(s) you wish to share.
  3. Click the Share. A sharing window will appear.
  4. Set the audience of whom may access the file(s) and/or folder(s) by clicking the first option (Anyone with the link can edit).
    • Choose who may use the link.
      • Anyone with the link will allow anyone--regardless of who they are or if they are logged into a SMSD Office365 account--to access the file.
      • People in the South Middleton School District with the link will only allow those who are logged into a SMSD Office365 account to access the file.
